Reporting to the CEO and COO, the full-time Executive Assistant is a salaried position that provides executive support and serves as the primary point of contact for internal and external inquiries in all matters pertaining to the CEO and COO. The Executive Assistant must be creative and enjoy working in a results-driven, client-centric, and collaborative work environment. The ideal individual will have the ability to exercise judgement in a variety of situations, with proven strengths in verbal communication, administrative functions, organizational skills, and the ability to maintain realistic balance among multiple priorities. The Executive Assistant must have the ability to work under pressure at times to handle a wide variety of activities and all confidential matters with discretion.

Requirements
  • A bachelor's degree preferred with 2-3yrs of applicable experience in a similar role or function.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to collaboratively build relationships with all stakeholders; including staff, external partners and others.
  • Expert level of written and verbal communication skills.
  • Demonstrated proactive approaches to problem solving with string decision making capability.
  • Independently motivated with a strong sense of emotional maturity and intelligence.
  • Highly versatile and resourceful team player, with the ability to also be extremely effective independently.

Roles/
Responsibilities
  • Completes a broad variety of administrative tasks for the CEO and COO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas to name a few.
  • Plans, coordinates and ensures the CEO and COO’s schedule(s) is followed and respected.
  • Provides bridge for smooth communication between the C-Suite offices and internal departments; demonstrating leadership to maintain credibility, trust and support with leadership team.
  • Will engage as necessary with external stakeholders (i.e. customers, dealers, investors, suppliers, etc.)
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Assists in coordinating the agenda of Executive Leadership Team meetings and off-sites, and all other related meetings of this group.
  • Facilitates coordination and partnership with all other executive assistants.
  • Travel will be limited, though some will be required initially for training as well as ongoing board meeting support if they occur in other locations.
  • Willingness to flex hours as needed and be appropriately available outside of normal business hours as necessary.
